Special orders

Todays special orders parts which are incorrect or no longer required are tomorrows stock lines, then next months slow lines, then next years obsolete lines

If a manufacturer or OEM supplier allows parts to be returned there’s a chance to save this happening, but how do you know what to claim and when to claim it?

Easy, get a report which will trigger when the time limit is nearing. This allows time for the claim to be raised and the part returned.

 

Random stock checking

If you carry out an annual stock check but feel the need to be carrying out random daily checks, then generate your list based solely on the previous days credits and reverse issues.

This ensures that the credits are genuine, and random checking is a good exercise to perform for measuring line error rate percentages.

If the report is written correctly members won’t suspect the motive behind the report, merely believing it’s just a random counting procedure.

 

Stock management

Traditionally managers or stock controllers spend hours reviewing recommended stock orders.

If the recommended order is making suggestions which are always amended, then there must be something wrong with the parameters.

Instead of spending 1 or 2 hours reviewing a stockorder invest that time in stock management, then the recommended order will be correct first time, every time.

 

Faster inventory checking

The fastest way to perform a stock check is to monitor every section being counted live.

During the physical counting get staff to start entering the check sheets.  With good reports you can see the progress of the count in a real time onscreen report.  Utilising a percentage completed method either per section, aisle, or rack will highlight a bottleneck, and once there’s a bottleneck the areas around that location also start getting held up.

Another speed method is to not bother generating “rough sheets”. These sheets take hours to input and the chances of the items being physically moved are slim, instead, pull the item out of the location have someone collate all the items together. Once the majority of the count is complete there is always a delay waiting for the sheets to be entered to enable recounts, utilise your team to lookup, and document the found items, and make sure the quantity is updated manually after the input but before the final update.

Parts stock modelling

We have managed large parts operations and advised manufacturers on quality stock management for their networks. Some of these methods have become national dealer programmes.

Most manufacturers now provide daily stock order deliveries and under these circumstances having a stock turn less than 14, a stock to VOR ratio below 90%, or obsolescence in excess of 3% means a dealer’s stock management requires some attention.

Running an enhanced operation will release capital tied up in stock for investment elsewhere in the business.

Stock modelling enables dealers to achieve KPI’s to the above levels and beyond and increase their levels of service at the same time.

Excellent availability is key for the retention of trade parts customers, and it keeps service managers happy too?

The most significant benefit will be reducing the time to manage the stock, allowing parts managers more time to manage the department, and users less time chasing and ordering non stocked parts which means more time dedicated to generating parts sales leads and opportunities.

Stock analysis and monitoring

Depending on the quality of the stock file we can produce analysis based on a multitude of point of sale or purchasing data like identifying which products generate uneconomical goods inwards traffic, or are the fastest moving workshop issues located effectively for efficient retrieval?

We also measure stock availability other than first time pick, this secondary format measures an instantaneous “snapshot” of availability.

We install stock record monitoring systems checking the conformity of data and structure, enabling the formats to remain uniform.

It also includes daily recommended new stock, bin location formats, reorder category errors, new stock location errors(or lost until the next stock check), and expired supercessions, etc.

Controls to check claims and reduce debits

Reporting on data for special order returns to the supplier, trade partner programme claims, management of old warranty parts to eliminate manufacturers debits for non return of material.

Sharing data from sales and purchase ledgers helps users with functions like daily cashing up, chasing parts debtors, even generating overdue debtors letters etc.

 

Group stocks

Uniformity is a major issue within groups. Data like prices differing between sites creates confusion for customers and staff alike.

We measure records across groups and address differing areas. This same procedure also highlights obsolete parts stocked at one branch but selling in another, enabling you to move the stock rather than repeatedly purchasing more.

 

Stock checking

Annual or perpetual, one weak area in any stock check is knowing the progress of the count and the count input, we create reports to monitor this process from bottle-neck aisles to lost count sheets so that areas like these are identified quickly.

Another grey area is exchange core product which is located amongst the warranty returns? This as a potential weak spot therefore creating a report identifying all these units so a physical count is unnecessary saving both time and resource.

Manufacturers needs from parts

Sometimes there’s a need to increase purchases for that ever increasing parts target!

Using the standard purchase uplift function always overcompensates generating lines you wouldn’t consider over purchasing, it’s an option we would never even consider using.

Utilising our method enables a targeted uplift to tightly defined categories.

 

 

Parts WIP monitoring

You can have a monitor which informs each member of the parts team the status of every live wip under their management.

Knowing if a complete special order shipment has arrived or needs chasing, keeping control of customer deposits or P&A warranty claims, outstanding customer returns, service department pre-picking, or even pending picking slips.

Parts sales analysis

We create sales analysis reports with additional data like average discount, items counts, and first time pick, or present a 12 month rolling parts sales summary for trade account customers for use by parts reps.

Depending on the stock file quality you can report on customer spend by product type.  This increases opportunities by knowing which additional product lines need to be marketed and to which customers.

We generate sales data per customer including average discount and margin, first time pick etc.

 

Parts point of sale

Increasing efficiencies in a parts operation promotes a well respected operation.  Operating extensive procedures to improve the service levels to the service and workshop operation will help increase workshop efficiencies and labour utilisation.

Service department issues either retail, internal or warranty are probably amongst the most profitable areas within the parts operation, and assisting the service operation with facilities like pre-picking will enhance utilisation further. You don’t have to pre-print the jobcard to promote pre-picking, this can be system monitored and actioned days before a vehicle is due in or even 10 mins after the vehicle has arrived.

 

Purchase control

Enhancing purchase control data creates customer backorder reports and generates early warning processes for deferred or delayed shipments.

We have created daily delayed parts fax messages to customers providing these details have been entered.

Generating customer “unordered” parts reports can be produced to user management level, this will give individual users the advantage in tracking and then informing a customer of any potential delays which may be experienced, and can also incorporate free stock quantities at different sites when in a dealer group, this helps ensure you minimise the chances of obsolescence rather than purchasing in a slow mover.

Pending purchase order lists can be utilised to cross correlate with suppliers outstanding order reports to enable cancellation of long term backorders.

Data from the purchase ledger can be shared and used for making parts manufacturers claims, where specific invoice details are required to generate the claim but the suppliers invoice is either filed away, or in most cases not available.

 

Although it’s probably hard to believe, dealers can increase the performance of their parts operation, reduce their stock holding and release capital all at the same time.
